General Summary:

The Overlake School seeks a highly motivated, detail-oriented and energetic Development Assistant to provide comprehensive support for all aspects of a dynamic Development Department. The Development Assistant is a full-time, non-exempt position, and reports to the Director of Development. Specific responsibilities include the following:

Database (80%)

Responsible for managing the day-to-day operation, maintenance, data integrity and accuracy of donor records in the School’s database, Veracross

Enter and update constituent information in Veracross, such as giving details, event attendance, attributes, notes and comments

Process, acknowledge and file all gifts and pledges in an accurate and timely manner

Generate pledge reminders

Produce queries, reports, exports, donor lists and mail merges for all fundraising campaigns, communications and special events

Coordinate production and logistics of solicitations and stewardship mailings

Generate weekly and monthly reports for the Business Office; reconcile donations with Business Office on an ongoing basis

Manage and coordinate annual audit requests with the Business Office

Generate data for annual surveys, such as NAIS and NWAIS

Conduct prospect research on prospective corporations, foundations and donors

Serve as a member of the school’s “Core SIS Team” to help steward and lead data platforms forward; work closely with the Technology Team to lead the Development Department in leveraging data and technology effectively in order to better fulfill the school’s mission

Partner with the Admission, Business Office, Registrar and Technology Departments to ensure ongoing accuracy of records

Special Events (20%)

Provide support to Development staff to organize and implement all special events for the department, including the annual gala and cultivation and stewardship donor events

Support Parent Faculty Staff Alliance events as needed

Coordinate various logistics and communications for all Development events, including creating invitations and tracking RSVPs and event attendance; ensure accuracy of event details on School calendar

Coordinate communications of special events with Communications Department

Document lessons learned

Other

Develop relationships with parents, faculty, staff, alumni and all other constituencies

Work with school personnel to order supplies and maintain equipment for office

Organize and provide support for meetings, such as room reservations and hospitality

Update and maintain Development Department calendar

Manage and update department manual as needed

Provide general assistance to the members of the Development staff, and participate in other Development Office and school-wide activities and events as requested

Act as a partner within Development team, demonstrating a collaborative nature and collective ownership of overall team goals and objectives

Qualifications

Bachelor’s Degree with at least two years of relevant office experience required; experience within educational institutions preferred

Database management and Microsoft Office Suite experience required

Impeccable attention to detail

Excellent written and oral communication skills

Event planning experience preferred

Outstanding interpersonal skills and judgment; high level of professionalism

Excellent organizational skills; ability to prioritize, plan and follow through on tasks

Demonstrated ability to initiate and complete multiple tasks on time

Proven ability to work well within a team and independently

Ability to work on complex problems independently; resourceful and self-starting

Demonstrated experience in all aspects of clerical responsibilities

Discretion in handling confidential information

Valid Washington Driver’s License preferred

Special Requirements

Some nights and weekends required

Ability to view and operate a computer frequently and consistently

Ability to type and sit for long periods; ability to listen and transcribe notes

Ability to lift and carry 35 pounds
