Job Description
The Development Assistant is a key member of the development team, assigned with supporting the fundraising goals of the organization through scheduling and other administrative tasks; document preparation; and assisting with fundraising activities, including proposal preparation support. This position will also belong to a cohort of coordinators supporting the DC Office on a rotating basis.
Key Duties and Responsibilities:
Scheduling and Administrative Tasks
Drafts correspondence, reports, and memoranda on behalf of the VP, Strategic Engagement (SE)
Manages VP, SE appointment calendar. Schedules and prioritizes appointments and meetings for the VP, SE, advising of daily schedule and monitors follow up activities
Supports VP, SE fundraising activities and maintains VP's donor contact information in CRM system (Salesforce)
Acts as Development's Concur Champion, preparing travel requests and expense reports for the VP, SE
Provide additional training and support for Development team members as needed
General Development Department Support
Supports the Development Department in creating, maintaining, and executing appeals and proposals
Attends additional training sessions on donor relations, fundraising, and report/proposal writing
Assists in fundraising activities
At the direction of Development Officer of Annual Programs, supports Development Department in creating, maintaining, and executing appeals: new appeal pieces, renewal pieces, targeted pieces and new acquisition pieces, utilizing current data for improved return
Tracks appeals and report/share information with the VP, SE
Assists in the writing, editing, and submission of any proposals or grant applications
Drafts, formats, edits, and finalizes proposal content and attachments, including background research, cost application documents, and supports successful, on-time submissions
Schedules and coordinates meetings and calls in support of proposal teams, resource development workshops/plans; takes and distributes meeting notes
Supports proposal development process by occasionally playing a coordination role on less complex proposals and/or continuing applications
Participates in PCI's innovation efforts and in teams on innovation initiatives
Other duties as assigned
DC Office Support
This position belongs to a cohort of positions supporting the DC Office on a rotating basis. The assistant supports, maintains and improves D.C. Office operations.
The primary responsibilities include overseeing general office/facilities matters, maintaining office supplies, administrative assistance to senior executives, and providing an array of assistance to the D.C. staff in the areas of: communications, networking, special events, travel and other logistics.
S/he will also be the liaison between the International Office (IO) and the DC office on administrative and facilities tasks.
The assistant works with the Executive Office & Board Relations Manager to ensure timely completion of special projects.
Required Experience:
Bachelor's degree in an appropriate field (business administration, non-profit management, etc.) or relevant technical training with 1-2 years of professional experience
High level proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook, with the ability to learn other software applications quickly
Experience in internet research and database management (Salesforce preferred)
Adept at proof-reading own and others' work to eliminate errors
Must be flexible, organized, and adept at follow-through, with strong attention to detail
Capable of handling several tasks simultaneously and self-managing time and task priorities
Excellent communication and interpersonal skills, both written & verbal, including the ability to communicate across cultures
A passion for the mission and values of PCI
Candidate must be willing and able to work overtime during peak seasons
Experience with Salesforce a plus
Bilingual in Spanish strongly preferred
