Description Development Office Development Officer, Principal Gifts The Development Officer is responsible for supporting the work of the Principal Gifts team, including two Senior Directors, Principal Gifts within the Massachusetts General Hospital Development Office. The Officer troubleshoots and resolves issues independently on behalf of the supported individuals with an advanced understanding of strategy and projects. The Officer is responsible for processing gifts from the hospitalu2019s top donors and producing related correspondence. Additionally, the Officer will make travel arrangements, process business expenses, and manage preparations for appointments, meetings, events and presentations by anticipating, coordinating, reviewing and organizing related briefings and materials with excellent customer service and professionalism. Principal Duties and Responsibilities Independently anticipates and manages all aspects of internal and external meetings and presentations, including making recommendations on attendees and managing logistics of involving internal and external leadership. Assists proactively in preparing for appointments, meetings and presentations, prompting supported individuals regarding preparations of related materials (agendas, minutes, PowerPoint, Excel spreadsheets, etc.). Manages the coordination of small donor events in collaboration with the Special Events team and other development programs, as necessary. Assists with generating the agendas for regular meetings with hospital leadership, donors and internal teams and follow-up on action items. Anticipates all aspects of business travel; makes travel arrangements obtaining requisition approvals; proactively troubleshoots and resolves potential logistical or policy conflicts, and prepares accurate and thorough travel itineraries. Manages all aspects of business expense processing for the supported individuals. Assists the Senior Directors with the tracking of their assigned annual budget and submits accurate and timely employee expenses and vendor payments using appropriate procedures. Reviews correspondence and other written materials upon request and interprets information necessary to draft responses as needed. Drafts a wide array of written materials as needed with minimal guidance as to content, format and strategy; proactively seeks assistance with proofing/review from the Communications team. Conducts basic prospect identification activities, as needed, working with the Prospect Research team to collect relevant information. Has an advanced understanding of gift types, transactions and processes and consistently and accurately completes booking forms for gifts and pledges in a timely manner and provides thorough information and gift backup for the preparation of acknowledgement letters. Works closely with the supported individuals to track and inform about pending reports, engagements and other stewardship actions scheduled for donors and prospects. Conducts first-pass reviews of acknowledgment letters on behalf of the supported individuals, prompting them for final approval. Reviews the daily gift report, alerts the supported individuals to any relevant gifts or pledges and proactively takes appropriate action. Maintains a thorough understanding of the supported individualsu2019 portfolio and ongoing gift situations. Attends portfolio reviews and assists with anticipating, engagements and other stewardship actions for donors and prospects. Records and gathers information and action items accurately in a donor database and adds detailed information to records with minimal guidance. Serves as project manager and assists with daily operational activities, as needed. On as-needed, as-available basis, assists other members of the Development staff. Assists with recruiting activities, as needed. Qualifications Qualifications Bacheloru2019s degree and 2-4 years related experience, required. Familiarity and experience with Development, preferred. The ideal candidate will also possess the following skills, abilities and competencies: Strong command of Microsoft Office applications, such as PowerPoint and Excel. Experience with Mac iOS applications preferred. Experience with Raiseru2019s Edge preferred. Take initiative, anticipates and proposes next steps.
