University Advancement has an outstanding opportunity for a Director of Gift Processing.

Position Purpose

The Director of Gift Services manages the staff that receives, records and receipts charitable contributions and pledges to the UW and UW Foundation and ensures that gift revenues are directed to the correct allocations for endowment or expenditure. The Director ensures that data entry is performed to advancement standards and that gifts and pledges are properly documented and are appropriate for acceptance by the university in accordance with university policy, state and federal law and IRS regulations. The Director acts as a conduit for innovative practices, state of the art processes, and the growth and professional development of an increasingly technologically complex operation and staff.

Duties and Responsibilities

Strategy Development

Participate in the senior management team of Advancement Operations, setting policy and participating in strategic planning.

Leadership and Team management (continuously overlaid in all duties)

Provide leadership and manage the Gift Services team. Also, provide leadership to the Advancement Operations team in collaboration with the AVP for Advancement Operations.

• Manage the day-to-day operations of the Gift Services team

• Create and manage the budget of the Gift Services team with discretionary authority

• Manage a team of professionals who will receive, record and receipt contributions to the university

• Responsible for management, staff development and career enrichment for the Gift Services team

Program Development and Management

Maintain an organizational structure and operating plan for the unit including strategic planning, resource acquisition, and budget administration

Develop, implement and review procedures, standards and schedules for gift and pledge processing.

Ensure that only gifts and pledges which meet University and legal requirements are formally accepted by the University, and that gift valuation consistently reflects federal, state, university, and industry guidelines and standards.

Responsible for the accuracy and integrity of all gift records.

Work with Information Management and Finance and Administration to audit and analyze the accuracy of the content of gift and pledge data.

Manage record retention in Gift Services.

Work with programming, gift processing and development staff, outside vendors and current users to devise efficiencies using computer applications.

Oversee the creation and tracking of gift accounts and allocations.

Serve as the primary contact for issues, unresolved problems and areas of confusion arising from processing gifts.

Establish challenging and relevant annual goals for the unit that includes ongoing evaluation of the organizational structure, policies, and procedures in light of those goals.

Participate in the leadership of the University’s development program as a member of the Development and Alumni

Relations Council, contributing to management decision making processes.

Report regularly to the AVP for Advancement Services regarding progress toward goals, successes, and challenges.

Other duties as assigned.

Requirements

Limited Recruitment – Open to University Advancement Employees Only

Bachelor's degree and at least six years progressive experience in administration of a fundraising operations unit, preferably in higher education. Equivalent combination of education and experience from which comparable knowledge and skills have been acquired may substitute for degree.

Comprehensive knowledge about IRS rules, GASB accounting guidelines and CASE standards for campaign reporting.

Experience managing and developing staff and/or teams.

Demonstrated strong computer skills, including proficiency with Microsoft Word, Excel, and PowerPoint for correspondence, special reports, spreadsheets, databases, forms, etc.

Desired Qualifications

Advanced degree.

Capital campaign experience at a large, public university.

Knowledge of the integrated advancement model. Knowledge of alumni relations/development/advancement principles.

Knowledge of UW Advancement policies and procedures, including use of the development database software ADVANCE.

Conditions of Employment

Cubical/Open workspace environment which may result in additional or higher levels of noise and visual distractions.

Ability to work evening and weekend hours, as necessary, on short or limited notice.

Must have regular and reliable transportation for local travel and willing to travel when necessary.

Frequent local travel expected.
