The Development team of major gift and annual gift officers cultivates prospective donors, both nationally and internationally, to inspire transformational gifts in support of Berkeley Haas and provides staff support for high-level volunteer groups, such as the Berkeley Haas Advisory Board and the Dean's Advisory Circle. With 40,000 living alumni, the Alumni Relations team develops and builds greater awareness for career services, lifelong learning, and networking resources to support the engagement, learning, and connectedness of Berkeley Haas alumni.
This position serves as overall Office Manager for the Berkeley Haas Development and Alumni Relations (DAR) Organization, independently providing oversight for all departmental administrative operations, including facilities, space logistics, technology needs, supplies and inventory management, and efficient office operations for DAR staff. In addition, this position supports strategic initiatives related to Haas Parents program, online customer service, student philanthropy, Donor Appreciation Week, DAR-wide initiatives including events, travel, etc.
This scope of this position is significant, as it serves the DAR organization in the area of operations, office management, and support for strategic initiatives. The impact of this position is critical, as it ensures efficient and effective operation of the entire organization on a daily basis.
Office Management/Administrative Operations:
* Serve as overall Office Manager for the DAR organization, independently providing oversight for all departmental administrative operations, including facilities, space logistics, technology needs, supplies and inventory management, and efficient office operations for DAR staff.
* Administers defined DAR wide operational activities which may include some of the following functions: budget, donor relations, alumni relations and volunteer management, including support for meetings and minutes.
* Serve as main point of contact for property landlord, communicating regularly with landlord and DAR staff, including but not limited to the need to call law enforcement, community issues, issues of health, safety and wellness, maintenance issues, scheduling of repairs, trash removal, door security, coordination of DAR facility needs with the Haas facility team, etc.
* Maintain and update documentation of DAR s Policies and Procedures, staff contact information, all staff lists on Google mail and all staff lists, including for emergency contact.
* Assist with schedules and calendaring for members of the DAR staff.
* Manage and maintain the technology needs of all shared space in the DAR facility, including the conference room multi media equipment, providing support for all staff needs related to conferencing activities, including video and audio.
* Serves as senior member of support staff, and may supervise work study students.
* Maintains knowledge of DAR s business processes and ensures cross training of support staff across DAR. Serves as backup to DAR support staff, as needed.
* Coordinates onboarding of new DAR staff, including development of individual onboarding schedules, facilitation of campus and Haas onboarding activities, and support for required training and access to campus databases.
* Serves as Safety Coordinator for the DAR organization.
* Organize inventory of marketing materials and collateral onsite and at off site storage working in partnership with the DAR associates.
* Performs other office duties as required.
* Plan, organize and execute VIP campus visits of donors, prospects and alumni with the appropriate campus representatives, including scheduling appointments, arranging for meals, accommodations, transportation/travel, and appropriate campus escorts.
* Under the direction of the Assistant Dean, record all of the dean's donor contact activities in CADS (Campuswide Alumni/Development System), the campus' donor database of record.
* Support all activities related to the Haas Parents program, student gift campaigns, Haaspitality Table, Haas participation in the campus wide giving day known as Big Give, Donor Appreciation Week and other DAR wide initiatives as needed. Support includes but is not limited to event logistics (rentals, vendors, etc.), speaker arrangements, production of materials and reporting on event and project outcomes.
* Support DAR Events Managers in implementation of special events and programs, including luncheons, receptions, dinners, and other events produced by DAR staff. Provide staff support at events, including on site direction of event attendees, registration, setup and cleanup. Occasional weekend and evening attendance is required.
* Accesses and generates reports out of CADS (Campuswide Alumni/Development System) in service of DAR wide initiatives and projects. As needed, utilize CADS, Excel, Tableau, and other platforms to report on and track activity related to prospects, donors and alumni.
* As needed, under the direction of the Assistant Dean, provide logistical support for campus visits of prospects, donors and alumni with appropriate faculty, students, campus officials and staff, including scheduling of appointments, meeting materials,
