Job Description:

Position Overview

Reporting to the Chief Advancement Officer and Director of Special Events, the Development Events Manager (DEM) plays an active and pivotal role in the New Museum’s Development Department by managing donor events of all scope and size, including the New Museum’s two primary fundraising events: the fall “Next Gen” benefit and the annual Spring Gala. The DEM interfaces primarily with the Events and Development staff, but also communicates with the Director’s Office, Board of Trustees, event rental clients, and high-level institutional donors. The DEM provides general administrative and fundraising support to the Chief Advancement Officer and Director of Special Events.

Primary working hours will be 40 hours/week, 10:00 a.m. – 6:00 p.m., Monday through Friday. However, the position requires flexibility to work on weekends, early mornings and late evenings, when necessary. The position is eligible for the Museum’s employee benefits programs.

Primary Tasks/Responsibilities:

• Plan and execute all exhibition openings; manage event timeline and staffing

• Coordinate exhibition opening invitation and guest lists, liaising with necessary Museum departments and external partners

• Assist with planning donor events such as VIP dinners and donor receptions

• Responsible for all operational duties related to highly successful fundraising events

• Participate in planning the Spring Gala and fall Next Gen benefit, managing the event timelines, budgets, invitation lists, RSVPs and event production

• Draft all Spring Gala and Next Gen benefit communications

• Assemble, refine and manage benefit invitation lists

• Process gifts and maintain accurate donor records in fundraising database; prepare tax-acknowledgements

• Manage all benefit ticket and table revenue, reconciling with department heads

• Track all benefit event revenue and generate reports as necessary

• Attend internal meetings with and assist the Chief Advancement Officer and Director of Special Events, to develop event fundraising strategy

• Steward and ensure the integrity of all Development Department systems: electronic and paper donor files, policies and procedures, mailing lists

• Update and maintain Special Events guidelines and training manuals

• Query and analyze Raiser’s Edge event reports, donor and prospect lists

• Be an informed, proactive, and reliable steward for all New Museum donors

• Conduct donor/prospect research when necessary

• Provide support to various departments in connection with conceiving, scheduling, planning and implementing cultivation and stewardship events including major membership events

• Assist and support other departments that organize events, including Education and Public Programs, NEW INC and Ideas City

• Provide administrative support as needed

Qualifications

Bachelor’s degree and at least 3-5 years’ experience working in donor development or other high-paced, high-level customer service field is required. Proficiency in Microsoft Office, Raiser’s Edge or comparable donor database program is essential.

Strong candidates must have excellent communication skills (verbal and writing); superior inter-personal and presentation skills; the ability to anticipate donor needs; superb organizational and project management skills, and the ability to manage multiple projects simultaneously. Outstanding attention to detail is essential. Experience with processing payments and monitoring budgets is essential. An appreciation for and interest in contemporary art is highly desirable; ability to work productively with diverse constituencies is essential.
