The Annual Fund and Benefit Coordinator will work closely with the Associate Director of Development to plan, develop and implement programs and events including the International Society Cocktail, the Board of Trustees meetings, the Trustee dinner, and the Spring Benefit. The position will also assist the Associate Director of Development with managing and increasing the Annual Fund. The Annual Fund and Benefit Coordinator collaborates frequently with all members of the five person advancement staff.

Job Responsibilities:

Annual Fund:

Collaborate with Associate Director of Development to develop and implement plan to increase Annual Fund giving and participation.

Help produce Annual Fund materials and communication.

Prepare Annual Fund reports, donor profiles, and solicitation materials.

Prepare solicitation packets for the Annual Fund Committee.

Collaborate with Associate Director of Development to plan, develop, organize, and implement the International Society Cocktail, the Board of Trustees meetings, and the Trustee dinner.

Develop and manage event timelines, expenses, and event plans. Maintain files on each event.

Serve as liaison with vendors on event-related matters.

Coordinate with Facilities and Communications to secure rooms and facility requests.

Make arrangements for facility, catering, décor, and AV needs.

Handle invitations, nametags, gifts and other event-related items.

Track invitations and attendance to provide to Database Manager for the database.

Spring Benefit:

Assist in the planning and execution of the Spring Benefit.

Assist in the creation of the annual Auction Journal by coordinating approximately 250-300 auction items and writing item descriptions.

Manage spreadsheet of all auction items.

Create other printed Benefit materials (item certificates, display cards, etc.).

Prepare materials for Committee meetings.

Prepare reports and updates on the Spring Benefit

Attend Committee meetings, take notes, and distribute minutes.

Administrative Support:

Provide support as needed to the Associate Director of Development and all advancement staff for events, communications, and other projects

Assist in preparation of reports for advancement staff and external audiences

Prospect research new families.


The individual we seek must be highly organized and detail oriented, able to multi-task, a team player and have good writing skills. Demonstrated ability to work under pressure and to meet deadlines is essential. Must be able to work independently and collaboratively. Approximately 20 night events required. Approximately four Saturdays. Approximately 9 am – 6:30 pm regular work hours, as needed to meet deadlines and complete tasks/assignments. Some early morning meetings required. Candidates must be familiar with Microsoft Word, Excel and PowerPoint programs. One (1) to three (3) years of relevant experience. Bachelor’s degree required.
