General Description:
Supports the development function, which includes all administrative activities necessary for effective fundraising and marketing, to maximize philanthropic support of TRE’s mission to build independence for people with intellectual and developmental disabilities. Responsible for department support, which includes, but is not limited to: database management, gift processing, tracking grant and corporate proposals and report deadlines, and event support.
Essential Duties/Responsibilities:
Responsible for providing support for the Development Department administrative functions, to include, but not limited to, the following:
Maintain accurate and organized electronic and hard-copy filing system for grants, individual donors, and corporate sponsors, as well as other department-related programs and events.
Assist with coordinating donor and prospective donor contacts, and provide appropriate follow-up after donor and prospective donor meetings (i.e. adding meeting notes to database, prepare proposals, thank you letters, follow up reminders, etc.).
Assist with tracking department expenses and submitting invoices/receipts to the Finance Office.
Provide support at meetings and events of the Development Committee of the TRE Board of Directors.
Provide event support for major fundraising event, trainings, and recognition events including support for event logistics, communications, and follow-up with event participants, sponsors, media, volunteers, and donors.
Schedule meetings for Development Director and Chief Executive Officer to meet with potential and current donors.
Coordinate volunteers for various department and TRE events.
Coordinate direct mail campaigns.
Invoice corporate sponsorships, prepare appropriate thank you letters, track agreed-upon benefits, and ensure that partnership agreements are honored.
Support production of marketing and PR projects such as annual report, brochures, and event collateral, as assigned.
Obtain and track consents from people receiving services for marketing/PR purposes.
Assist with development and distribution of e-newsletter to staff and donors.
Facilitate effective internal and external communications.
Assist with updating TRE’s Web site, online giving tools, and TRE’s social media, as assigned.
Responsible for database management, to include, but not limited to, the following:
Track all donations (including grants and sponsorships), prepare appropriate donor acknowledgements in a timely manner, coordinate the processing of credit card payments for pledges, invoice outstanding pledges, and reconcile with the Finance Office monthly.
Adding and update data to the donor database including current donor and prospect contact information; tracking donor gifts and pledges; notes about participation, identification, and cultivation of prospects.
Produce reports from the donor database to track campaign progress toward annual and long-term goals.
Create targeted mailing lists from donor database based on constituency and other variable criteria.
C. Provide administrative support to the Grants Manager, to include, but not limited to:
Preparing and maintaining updated required grant attachments,
Preparing appropriate acknowledgments (thank you letters),
Maintaining electronic files on shared drive for each funder.
Updating the donor database with contact information, deadlines and grant tracking.
Other Duties/Responsibilities:
1. Participate in professional opportunities (committees, workshops, etc.) based on professional development plan.

Job Qualifications
Knowledge, Skills, and Abilities:
Minimum:
2-3 years experience in a fast-paced team environment with writing, scheduling, and tracking data
Demonstrated track record of managing and meeting deadlines
Strong attention to detail
Experience with reporting software such as Access or Crystal Reports
Evidence of taking initiative to complete projects and solve problems
Excellent writing and organizational skills
Computer proficiency (MS Office)
Experience working proficiently with donor/customer relations management systems such as DonorPro, E-Tapestry, Raisers Edge and Constant Contact.
Experience working in inclusive and diverse environments.
Preferred:
Development background and
demonstrated ability to manage multiple projects, meet deadlines, and be effective in an administrative support role.
Experience with managing sensitive and complex information; keeping data current and ensuring data hygiene
Demonstrated understanding of the development process, particularly as it relates to writing and communicating the case in various appeals (letters, social media, grant proposals); developing and maintaining the activities calendar; assembling relevant information to support requests, tracking donor information.
Event planning experience.
Education/Experience or Formal Training:
Minimum: BA/BS degree or equivalent combination of education and experience; with 2-3 years nonprofit organization experience
Preferred:
BA/BS degree in Business, Communication, or related field; or equivalent combination of education and experience; 2-3 years Development experience in a non-profit organization
Material and Equipment Directly Used:
Computers, Printers, Telephone, Copy and Fax Machines, Personal Vehicle, etc.
Working Environment/Physical Activities:
Office and Community. Moderate physical activity required. Frequent sitting and standing required. Manual dexterity, ability to lift and carry moderately heavy boxes and articles (10-15 pounds). Ability to talk and listen to staff and volunteers.
