The Development Associate is a key member of the Development & Alumnae Relations team responsible for managing fundraising events, supporting Annual Fund events, and managing related development projects as assigned. Working in a fast-paced, collaborative environment and reporting to the Director of Events and Alumnae Relations, the Development Associate will interface with volunteers and members of all constituent groups including parents, alumnae, faculty, staff, students, past parents and grandparents.

Primary Duties and Responsibilities:

Support the Director of Events and Alumnae Relations and parent volunteers in producing the annual Parent’s Association Benefit, assisting with all aspects of fundraising and execution.

Manage events including the New Parent Dinner, Grandparents’ and Special Friends’ Day, Class XII celebrations, Leadership Donor Reception and Head’s Reception.

Participate in planning and implementing Alumnae Weekend and Reunion, Regional Alumnae events, special programming, campaign events, and others as assigned.

Support the Annual Fund Director in event planning and materials preparation for fall volunteer kick-off events, committee meetings, and give-a-thons.

The assignments above require the following activities:

Manage event logistics including creating timelines, identifying venues, working with vendors, selecting menus, budgeting, booking rooms, drafting room set-ups, designing and sending invitations, tracking RSVPS, creating nametags, establishing and working within budgets, liaising with technology staff, writing run-of-show, training day-of-event volunteers, preparing briefings and talking points, staffing events, breaking-down and debriefing events and completing follow up.

Utilize Blackbaud development databases Raiser’s Edge and OnMessage to pull invitation lists, send invitations, record RSVPs and attendees, send reminders, produce nametags, create expected attendee lists, and pull reports for Annual Fund events.

Collaborate with parent and alumnae volunteers, as well as faculty and staff.

Develop and collaborate on implementing events communications plans utilizing print, web and social media, ensuring campaign and other school branding is incorporated appropriately.

Create post-event surveys to solicit feedback, and recommend improvements for the future.

Work with communications colleagues to identify story ideas related to event programs.

Contribute to multi-year campaign roll-out including communications and events.

Administrative tasks as required and other duties as assigned.

Minimum Qualifications:

Bachelor’s degree and at least five years of event and project management or closely related professional experience. Excellent interpersonal, organizational, speaking and writing skills. Proficiency with database software and Microsoft office programs, including Excel and Word. Occasional night and weekend work required.

Preferred Qualifications:

Prior experience with independent schools, including development experience. Proficiency with Raiser’s Edge database. Knowledge of Brearley’s culture and community.


The Development Associate must be an adaptable self-starter with the ability to manage multiple complex events simultaneously. The successful candidate will have a strong work ethic, acute attention to detail, proven ability to work independently and collaboratively, well-developed capacity to prioritize, and the ability to maintain confidentiality.
