This position provides direct operational and administrative support to the Chief Development Officer and the Development Department. The position serves as a first point of contact for the department and provides support for Development events, meetings, and other projects related to the engagement of current and prospective donors.
The scope of the position includes managing the administrative aspects of the Development Office, assisting with the Chief Development Officer\u2019s day-to-day priorities and schedule, donor meetings, correspondence, support of fundraising events, and other ongoing and special projects. The position provides general administrative support to the department, including but not limited to scheduling, travel, and correspondence, as well as extensive use of the Foundation\u2019s CRM database to track gifts and donor engagement activities. The position requires frequent telephone, electronic, and in-person interaction with current and prospective donors, vendors/consultants, and liaises with other internal departments/teams. The position is also responsible for processing contributions received by the New York office and works closely with the Finance department and others to ensure accurate and timely gift processing, receipting, and acknowledgements.
1. Provide operational and administrative support to the Chief Development Officer and the Department, including extensive CRM database use.2. Manage front office operations, including fielding all incoming phone calls, e-mails, and correspondence directed to the Department, as well as liaise with other departments/teams.3. Assist with financial record-keeping, invoicing, reimbursements, travel arrangements, and vendor management.4. Assist with executing fundraising events, meetings, and projects.5. Track and process donations received by the New York office.
1. Education (Minimum Needed and Type of Degree Needed): Bachelor\u2019s degree.2. Work Experience (Minimum Needed): Minimum of 2 years of relevant experience.3. Specialized Knowledge Needed for Performance of Job: Understanding of fundamentals of a Development office and a charitable foundation.4. Skills (e.g. Level of Judgment Required, Ability to Direct, Work Independently, Multi-Task, etc.): Strong work ethic and follow-through. Positive attitude and excellent interpersonal and communications skills. Ability to work in a team and independently. Flexibility to multi-task and prioritize, manage time effectively, and utilize troubleshooting skills.5. Special Skills (e.g. Technical, Advanced): Above-average computer skills \u2013 proficiency in Microsoft Office, knowledge of Blackbaud CRM and/or similar CRM/donor database.6. Other (Communication Skills, Mechanical Aptitude, Math Skills, Learning Skills, or Other Specific Skills Required): Integrity, dedication, discretion, ability to develop unique and innovative ideas, ability to work under tight deadlines.
Physical and Other Requirements
1. This position requires computer-based work that involves reading/editing and other work emphasizing the eyes.2. Significant computer work, which may require repetitive motion, prolonged periods of sitting, and sustained visual and mental applications and demands.3. Frequent lifting up to 20 lbs, bending, pulling, collating/filing, and occasional lifting, carrying, and/or moving boxes, files, etc., some of which could be heavy or require the use of carts.
