General Responsibilities 

The Special Events Coordinator is an integral member of the Events team within the South Shore Health System Foundation, and will be responsible for event-related activities. The Coordinator will report directly to the Manager, Special Events.

Specific Responsibilities 

Coordinates select activities associated with logistics including; vendor contracts, attendance lists, and production for events.

Oversees the invitation process including activities such as; compiling and managing the distribution, tracking RSVPs and following up with invitees as necessary.  

Manage Blackbaud’s Convio Teamraiser for all Walk for Hospice related needs including customer service, manage Walk team fundraising including; team captain weeks, internal events and all email correspondence.

Oversee the silent and live auctions from start to finish, soliciting, gathering and tracking donations, preparing auction space and materials, and ensuring auction items are delivered to winners in a timely manner.

Create, proofread and edit all marketing collateral, while working with outside designers and ensure deadlines are met.

Keep track of event finances including check requests, invoicing, and reporting.

Recruit, train, motivate and coordinate event volunteers, interns and temporary staff to advance Foundation activities.

Manage the Foundation related social media accounts.

Perform other duties as assigned.

Qualifications

Bachelor’s Degree preferred.  

3 years professional event/fundraising experience preferred.

Strong computer skills in all Microsoft products but specifically Microsoft Excel and Word required. Blackbaud’s Raiser’s Edge and Convio software and social media skills preferred.  

Ability to work independently and take initiative. Must be a quick learner, able to multi-task and switch gears easily. Detail-oriented.  

Strong writing, copy-editing, communication and organizational skills.

Demonstrated competence to assess priorities and manage a variety of activities in a time-sensitive environment and to meet deadlines with attention to detail and quality.  

Demonstrated ability to work as an effective team member in a complex and fast-paced environment.  

Excellent interpersonal skills including; team player and good attitude is a must.
